Terms and conditions
Last Updated: October 2026
These Terms and Conditions apply to all treks, peak climbs, mountaineering expeditions, tours and other travel services booked with Summit8000.
We operate in remote and high-altitude mountain environments where weather, route conditions, flights and other circumstances can change quickly. These terms explain what guests can expect from Summit8000 and what we expect from our guests.
By making a booking, paying a deposit or participating in a Summit8000 trip, you confirm that you have read, understood and accepted these Terms and Conditions.
1. Booking and Confirmation
A booking becomes confirmed once Summit8000 has accepted the booking and received the required deposit or payment.
For standard trekking and tour programs, a 20% deposit of the total trip cost is required to confirm the booking, unless a different payment schedule is stated for a particular trip.
The remaining balance must be paid according to the payment terms provided with the booking. For standard trips, the remaining balance may be paid in Kathmandu before the trip begins.
For major mountaineering expeditions, peak climbs and customized trips, different payment schedules or specific booking conditions may apply. These will be clearly provided in the relevant quotation, expedition agreement or booking confirmation.
By making a booking, the guest also confirms that the information provided to Summit8000, including passport, contact, emergency and relevant medical information, is accurate.
2. Prices and Services
The price of each trip is based on the services listed in the relevant itinerary and Cost Includes section.
Services not specifically listed as included are not included in the trip price.
Prices may change before a booking is confirmed due to changes in government fees, permits, transportation, accommodation, taxes, exchange rates or other operating costs.
Once a booking has been confirmed, the agreed trip price will normally remain unchanged. However, additional costs resulting from government regulations, new taxes, permit changes, transportation changes or other circumstances beyond Summit8000's control may be payable by the guest.
Credit or debit card payments are subject to an additional 4% card processing fee.
3. Deposit, Cancellation and Lifetime Rescheduling
Your 20% booking deposit is protected by our Lifetime Rescheduling Policy. If you are unable to travel on your originally confirmed departure date, you may postpone your trip to a future departure date at any time, with no time limit.
Your booking can be rescheduled regardless of how much time has passed since the original booking, subject to availability and the operating conditions of the selected trip. This gives you the flexibility to postpone your Himalayan adventure rather than lose your booking.
The booking is non-refundable and non-transferable and must remain under the name of the original guest. It may only be postponed to a future departure date.
Any additional costs resulting from rescheduling, including changes in flights, accommodation, permits, transportation, seasonal rates, or other services, will be payable by the guest.
For major expeditions, peak climbing programs, and customized trips, separate cancellation, payment, and rescheduling conditions may apply where specifically stated in the booking agreement or quotation.
4. No Refund After a Trip Has Started
Once a trip has started, payments are non-refundable regardless of the reason the guest is unable to continue or decides to leave the trip.
This includes, but is not limited to:
Illness or injury
Altitude-related problems
Lack of physical fitness
Personal or family circumstances
Change of personal plans
Voluntary decision to leave the trip
Inability to complete the planned itinerary
Early return for any reason
If a guest leaves a trip before its scheduled completion date, no refund will be provided for unused days or unused services, including accommodation, meals, transportation, domestic flights, permits, guide or porter services, expedition services or any other services included in the booking.
Any additional costs resulting from leaving the trip early, including transportation, accommodation, medical treatment or evacuation, will be the responsibility of the guest unless covered by the guest's insurance.
5. Travel Insurance
Travel insurance is mandatory for Summit8000 trekking, climbing and expedition programs.
The insurance must be appropriate for the altitude and activity of the trip and should provide coverage for:
Emergency medical treatment
Hospitalization
High-altitude rescue and evacuation
Helicopter evacuation where applicable
Emergency repatriation
Trip cancellation and interruption
Personal accident
Baggage and personal belongings
For climbing and expedition programs, the insurance must specifically cover high-altitude mountaineering at the required elevation.
Guests are responsible for checking the conditions, altitude limits and exclusions of their insurance policy.
Summit8000 may request proof of insurance before departure. If a guest cannot provide the required insurance, Summit8000 may refuse participation in the trip.
6. Mountain Conditions and Itinerary Changes
Himalayan travel requires flexibility.
Weather, snow, road and trail conditions, flight schedules, political situations, natural disasters, health and safety concerns and other circumstances may require changes to the planned itinerary.
Summit8000 may change the route, accommodation, transportation, schedule or other arrangements when necessary for safety or operational reasons.
Where possible, we will provide a suitable alternative.
Changes made because of safety concerns, operational conditions or circumstances beyond Summit8000's reasonable control do not automatically qualify for a refund.
Any additional costs resulting from such circumstances may be payable by the guest.
Guests should allow sufficient flexibility in their international travel schedule, particularly when a trip involves domestic flights in Nepal.
7. Health, Fitness and Mountain Risk
Trekking, peak climbing and mountaineering involve inherent risks, particularly in high-altitude and remote mountain environments.
These may include altitude sickness, extreme weather, avalanches, rockfall, icefall, difficult terrain, falls, injury, illness, delays and limited access to medical facilities.
Guests are responsible for ensuring that they have an appropriate level of health, fitness and experience for the trip they have booked.
Guests must inform Summit8000 of any relevant medical condition, allergy, medication or physical limitation that may affect their participation.
Our guides and expedition leaders may require a guest to rest, descend, change the itinerary, stop an activity or leave the trip when they believe continued participation may create a safety risk.
Such decisions do not automatically qualify for a refund.
8. Guide and Expedition Leader Authority
The safety of the team comes first.
Summit8000's guide or expedition leader has the authority to make decisions regarding route, pace, acclimatization, rest days, summit attempts, descent, evacuation and other safety-related matters.
For climbing and expedition programs, summit success cannot be guaranteed. Weather, mountain conditions, route conditions, acclimatization, health, technical difficulties and other factors may make a summit attempt unsafe or impossible.
A decision to turn around, abandon a summit attempt or change the itinerary for safety reasons does not automatically qualify for a refund.
9. Emergency Evacuation
If a guest requires emergency assistance, Summit8000 will provide reasonable support in coordinating evacuation or medical assistance.
Helicopter evacuation, medical treatment, hospitalization, additional accommodation, transportation and repatriation costs are the responsibility of the guest and/or their insurance provider unless specifically included in the trip price.
Where immediate evacuation is necessary, arrangements may need to be made before insurance approval is received. Guests remain responsible for any costs not covered by their insurance.
10. Flights and Third-Party Services
Some Summit8000 trips depend on domestic airlines, helicopters, hotels, lodges, transportation providers and other independent service providers.
Flights may be delayed or cancelled due to weather, visibility, technical problems, airport conditions, air traffic or other operational reasons.
Summit8000 will assist with reasonable alternative arrangements where possible, but cannot control independent service providers.
Additional costs caused by delays, cancellations or changes to services outside Summit8000's control may be payable by the guest.
Guests are strongly advised not to schedule tight international flight connections around a mountain trip.
11. Accommodation and Local Services
Accommodation and other services in remote mountain areas may differ from the standards available in major cities.
Teahouses, lodges, camps and other mountain accommodation are subject to local availability, seasonal conditions and operating limitations.
If the planned accommodation or service becomes unavailable, Summit8000 may arrange a suitable alternative where reasonably possible.
Such changes do not automatically qualify for a refund.
12. Guest Responsibilities
Guests are expected to:
Follow reasonable instructions from guides and expedition leaders.
Provide accurate passport, contact, emergency and relevant medical information.
Respect local communities, culture, religion and traditions.
Take reasonable care of accommodation and equipment.
Respect the mountain environment and follow responsible trekking practices.
Behave respectfully toward guides, porters, staff and other guests.
Avoid behavior that creates unnecessary risk for themselves or others.
Summit8000 may require a guest to leave a trip if their behavior creates a serious safety concern, places others at risk or significantly disrupts the trip.
No refund will be provided in such circumstances, and any additional costs resulting from the guest's departure will be their responsibility.
13. Force Majeure and Unforeseen Circumstances
Summit8000 cannot be held responsible for delays, changes, cancellations or additional costs caused by circumstances beyond our reasonable control.
These may include:
Earthquakes
Avalanches
Landslides
Floods
Extreme weather
Natural disasters
Epidemics or public health emergencies
Political unrest
Strikes
Government restrictions
Airport or road closures
Trail or route closures
Border restrictions
Flight disruptions
Other extraordinary or unforeseen events
Where such circumstances affect a trip, Summit8000 will make reasonable efforts to assist guests, provide suitable alternatives where possible and recover refundable amounts from suppliers where available.
Travel insurance is important in such situations because not all costs can be recovered from Summit8000 or third-party suppliers.
14. Liability
Summit8000 takes reasonable care in planning and operating its trips. However, Himalayan travel and mountaineering involve risks that cannot be completely eliminated.
To the extent permitted by applicable law, Summit8000 will not be responsible for loss, injury, delay, additional expenses or other consequences arising from:
Circumstances beyond our reasonable control
Inherent risks associated with trekking, climbing or mountaineering
Weather, terrain, altitude or mountain conditions
Independent airlines, hotels, transportation providers or other third parties
A guest's own actions or failure to follow safety instructions
Medical conditions or circumstances that were not disclosed to Summit8000
Nothing in these Terms and Conditions excludes or limits any liability that cannot legally be excluded under the applicable laws of Nepal.
15. Personal Belongings
Guests are responsible for their passports, money, electronics, luggage, equipment and other personal belongings throughout the trip.
Summit8000 is not responsible for loss, theft or damage to personal belongings except where such responsibility cannot legally be excluded.
Guests are advised to have appropriate travel and baggage insurance.
16. Privacy and Personal Information
Summit8000 collects personal information required to arrange and operate trips.
This may include passport information, contact details, emergency contacts, flight information, insurance details and other information required for permits, accommodation, transportation or emergency assistance.
Information may be shared with airlines, hotels, government authorities, permit agencies, medical providers, insurers and other relevant service providers where necessary to operate the trip or respond to an emergency.
For more information about how Summit8000 collects and uses personal information, please refer to our Privacy Policy.
17. Governing Law
These Terms and Conditions are governed by the laws of Nepal.
If a concern arises during or after a trip, we encourage guests to contact Summit8000 first so that we can try to resolve the matter directly and fairly.
Where a dispute cannot be resolved through discussion, it will be subject to the applicable jurisdiction of Nepal.
18. Changes to These Terms
Summit8000 may update these Terms and Conditions from time to time to reflect changes in our services, operating practices or legal requirements.
The latest version will be published on this page.
For confirmed bookings, the specific payment, rescheduling, cancellation and trip conditions provided at the time of booking will also apply.
Where a trip-specific agreement or quotation contains terms that are different from these general Terms and Conditions, the specific terms provided with that booking will apply to that trip.
